Close a hosting service without losing required records

web-hosting

Close a hosting service through a recorded offboarding process that addresses data, access, billing and provider resources. A customer asking to cancel one website may still need their domain, email or other services.

01 Confirm and prepare the closure

  1. Verify the requester is authorised for the affected account and identify the exact service IDs. Confirm whether the request is immediate or at the end of the paid period.
  2. List connected services and dependencies: domain, DNS, mailboxes, backups, licences, external storage and recurring subscriptions. Record which should remain active.
  3. Agree the required export or migration work and the customer's deadline. Explain the scope of available backups and any remaining access period using the actual service terms.
  4. Review unpaid invoices, credits and future renewal generation. Handle any approved refund or adjustment through the financial workflow, keeping the original payment history intact.
  5. Record the cancellation in the billing platform and inspect the scheduled action. Confirm that the timing matches the approved request.
  6. Before termination, verify the provider account and the required data handover. Perform the authorised lifecycle action once and inspect the provider result.
  7. Remove unneeded access, API credentials and provider resources. Check separately whether an external recurring payment agreement needs cancellation.

02 Verify the final state

Confirm the service is closed, future billing behaves as intended and unrelated products still work. Retain the cancellation request, financial documents and necessary operational evidence according to the approved retention schedule.

Do not treat a retained billing record as a backup of the terminated website. Also avoid deleting every customer record when only one service has ended.

Common questions

Does cancelling hosting cancel a domain renewal?

Not automatically. Verify the domain's renewal setting and the customer's separate instruction. A customer moving hosting may want the domain registration to continue.

Should I delete the customer immediately after termination?

Review remaining services, support history and required financial records first. Follow the documented retention and privacy process rather than using deletion as a substitute for service cancellation.
