Customize Hosting Suite emails and control automatic template updates

hosting-suite, resellers

Hosting Suite creates ordinary WHMCS product email templates and sends them inside your WHMCS global header, footer and styles. Use the module's email workspace to review each event, decide which messages to send and preserve deliberate custom wording.

01 Review and customize a template

  1. Open Workspace > Email templates.
  2. Find the event and read when it is sent. Check its Send switch and whether the design is built in or customized.
  3. Use Preview to inspect the message with example details and your real global email branding.
  4. Select Edit in WHMCS to change the subject, content or supported language versions.
  5. Preserve the merge fields needed for service details and action links, then preview and test the message.
  6. Confirm the template is now marked customized and the send setting remains correct.

How do I control automatic updates to customised email wording?

Built-in templates receive module design updates. Editing a template in WHMCS marks it customized, and the suite stops replacing that content. Make it mine (stop updating it) takes ownership without requiring an immediate wording change.

Restore the built-in design replaces your custom content and returns the template to module-managed updates. Save a copy of intentional custom wording before using it. Review customized templates after upgrades so new workflow details are not missed.

02 Understand names and event groups

Template names use your configured brand or WHMCS company name. The workspace groups renewal, trial, site-care, website, plan lifecycle, addon and AI-credit messages. Check the event description instead of choosing solely by a similar subject line.

Managed Hosting, WordPress and App plans have separate suspension, reactivation, cancellation, closure and plan-change wording. A configurable-option change alone is not necessarily a plan-change event.

03 Avoid duplicate lifecycle messages

For applicable managed services, the suite replaces certain native WHMCS notifications only when the corresponding suite message is used. Turning that message off allows the native fallback for an event WHMCS itself supports. Events without a native equivalent do not gain a new fallback merely because the suite template is disabled.

Disabling an email does not stop the underlying renewal, suspension or credit event. Test the operational action and its message separately.

04 Check delivery

Use the WHMCS email log to verify generation and inspect the configured outgoing mail service for delivery errors. Portal access and password-reset messages need special care because issuing access can invalidate older credentials. Do not repeatedly send access emails before checking which one the customer should use.
