Creating a useful team channel in Zoho Cliq

email

Use Zoho Cliq for agreed internal conversations when it is included and enabled in the organisation's Workplace subscription. Give each channel a clear audience and purpose so important decisions are not lost among unrelated messages.

01 Start a team channel

  1. Open Cliq from the Workplace application launcher and confirm you are in the correct organisation.
  2. Create a channel using the available channel controls. Choose its visibility and invite the intended participants.
  3. Add a short description explaining the topic, owner and expected response pattern.
  4. Post a welcome message with links to the authoritative project files and any practical communication rules.
  5. Have a member confirm access and notifications. Check that an unrelated user cannot see a private channel.

02 Work clearly

Use direct messages for a specific person's task and channels for information the team needs to retain. Give requests an owner and due time. Put final decisions into the relevant document, ticket or project record so a long chat history is not the only place they exist.

Share controlled file links rather than repeatedly uploading sensitive copies. Before inviting guests or external participants, check organisation policy and the account's available controls.

03 Manage attention

Adjust notifications for the channels that matter to your role and review availability settings during absence. An unread message is not an emergency notification system. Agree an alternative route for urgent incidents.

04 Example: organise a website-launch channel in Zoho Cliq

Your Workplace subscription includes Cliq and a small team is preparing a website launch. Create a channel named Website launch for the people responsible for content, testing and approval.

  1. Open Cliq from the Workplace application launcher and confirm the organisation.
  2. Create the channel with the intended visibility and invite the agreed members.
  3. Add a description naming the launch owner and the channel's purpose.
  4. Post links to the approved checklist and content-review document.
  5. Ask one member to confirm access and notifications.

Write task messages with a named owner and due time. Put the final launch decision into the project record.

Expected result: the team has one useful discussion space, while authoritative files and decisions remain easy to find outside a long chat history.

What should I check if Zoho Cliq channel access changes unexpectedly?

Check the signed-in organisation, channel membership and application licence. A Workplace administrator may have changed Cliq availability without changing the mailbox itself. Provide the channel name, affected account and visible error to the administrator.

At the end of a project, preserve decisions and retire or archive the channel using available controls. Remove departing staff through the organisation's access process, including shared files linked from the channel.
