Creating a moderated announcement list with cPanel Mailing Lists

cpanel-whm, email

A moderated mailing list can distribute approved announcements to a defined group while preventing every subscriber from posting to everyone. cPanel’s Mailing Lists feature is available only when the server and service enable it.

Check access and requirements

Confirm recipients have agreed to the mailing purpose and that the hosting service permits the expected volume. Decide who can post, who approves new members and whether archives should be public. Keep a small test group before importing a large membership.

01 Create a moderated announcement list with cPanel Mailing Lists

  1. Open Mailing Lists and create a clearly named list on the intended domain with a strong administrator password.
  2. Choose the appropriate privacy option. A private list is generally suitable for internal announcements, but review its subscription and archive controls rather than relying on the label alone.
  3. Open Manage to enter the Mailman administration interface. Add a few test members and set the moderation controls so ordinary members cannot post unapproved messages.
  4. Configure the authorised announcement sender, moderation notifications and subscription or unsubscribe handling. Test an approved announcement and an unauthorised member post.
  5. Add the intended membership after the tests pass. Monitor moderation requests, delivery failures and unsubscribes after each campaign.

02 Example: require approval before an announcement reaches the list

In a Mailman 2-style administration screen, open Privacy options > Sender filters. Set default_member_moderation to Yes before adding subscribers, then set member_moderation_action to Hold so moderated posts wait for review.

The default applies to newly added members. Review existing subscribers in Membership Management and set their moderation flags separately. If messages from nonmembers must also wait for approval, review generic_nonmember_action and any explicit sender exceptions that could accept a message immediately.

  1. Send one intended announcement and one ordinary member message to the test list.
  2. Confirm that both appear in the moderation queue and neither has reached subscribers.
  3. Approve only the intended announcement, then confirm that the test subscribers receive it once.

Keep a separate check of subscription approval, archive privacy and unsubscribe instructions. Posting moderation does not configure those controls.

Confirm the expected result

Approved posts should reach members once, while unapproved submissions follow the selected moderation policy. Verify that archives and membership information have the intended visibility.

Resolve setup problems

A private list is not automatically an announcements-only list. If members can still post, inspect their moderation status and the list’s sender controls. Do not delegate administration casually; review the access implications of the cPanel delegation feature first.

Should I use this for a large marketing campaign?

Check service limits and consent requirements first. A dedicated email marketing service may better provide campaign analytics, controlled sending rates and subscription management for a substantial public mailing list.
